Each year our organization holds elections for the
Band Boosters Board. The following lists include elected roles and non-elected roles that form the Tequesta Trace Band Boosters.
ELECTED BAND BOOSTERS BOARD ROLES:
President (maximum 3 years in office)
• Runs board meetings
• Defines the calendar of events (with Band Director)
• Appoints board members who are not elected
• Ensures that events are set up and organized, preferably through committees and Band Representatives
• Creates budget (with Treasurer)
• Supervise fundraising needs and activities.
• Seeks following year’s board officers
Vice-President (maximum 3 years in office)
• Works with President on event communications
• Writes emails to parents and students (Band updates, Events info, payment reminders, …)
• Supervise the uniform process (measuring students, uniforms sourcing and ordering, distribution)
Secretary (maximum 3 years in office)
• Takes minutes at meetings and send them for approval to the board
• Assists the President organizing events and coordinating volunteers
Treasurer (maximum 2 years in office)
• Creates budget (with President)
• Collects and deposits all monies
• Pays invoices for clinicians and reimbursements for expenses
• Submits tax filing
NON - ELECTED ROLES:
appointed by the President
Band Representatives (Symphonic Band, Advanced Band, Concert Band, Jazz and Rock Ensemble)
• Visits the band on a regular base to help the Band Director with administrative tasks (librarian, event registrations, filing, …)
• Send rosters updates to VP (Charms updating) and new student uniforms needs to the Uniform committee.
• Report to the Board any special info or need from the specific band: needed supplies, needed repairs, …etc.
• Help finding volunteers for events, and assist with organizing events
• If the representative is also a musician and has a level II volunteer badge, he/she can help the Director with rehearsing.
• Coordinate with the other representatives so that the Band Director can receive help appropriately.
Uniforms Committee Lead
• Manages band students’ uniforms in the first 3 months of school (polo shirts and tuxedo shirts): measuring students, sourcing and ordering, distribution.
• Match the Vest and Bow ties inventory with Symphonic students, and order any additional set if needed.
• Keep an available inventory of all uniform pieces to fit new students and also “growing” students (size changing) along the school year.
• During Holiday and EOY concerts, distribute the Vest and Bow ties to Symphonic Band students and make sure to get them back.
• Manage spirit shirts (and potentially hoodies) as a fundraising: sourcing, ordering, selling at different events (concerts, parent meetings)
Band Room and Event Decoration Committee Lead
• Organize the decoration of the cafeteria for the 3 main recitals (October Concert band first performance, December Holiday recital, May End of Year recital and awards)
• Sources and orders awards in coordination with the Band Director needs.
• Buy/order food supplies for main events (pizzas, cakes, drinks)
